Parent Teacher Organization (PTO) Meeting

MINUTES

  1. Welcome and Call Meeting to Order (Alison)
  2. Introductions- Alison, Heather, Celeste, Ann, Keralyn, Liz, Tiffany, Mr Loesch, Mr Essay.
  3. Old Business
    a. Approve Oct 2023 meeting minutes (Found at https://hbpto.net/blog)
    Heather first, Ann seconds- approved.
  4. Hornet Hop Update- We have plenty of bottle donations and food arrangements have
    been settled, but there are still lots of volunteer spots open. Not enough middle school
    volunteers to fill all openings. Another email going out Friday (tattoos and face painting,
    photographer). We can also put up a sign up reminding people to take and send pictures
    for the yearbook, can include QR code. May move some volunteers around where
    needed.
  5. Silent Auction Update (Liz)- Donations still coming in. $7,500 in value for donations so
    far. In order to keep kids from bidding on items we will need to monitor more heavily and
    put up a sign stating that only adults can bid, we can also close off other entrances so
    kids aren’t sneaking in. Cash, check and credit card accepted for payment- Liz and
    Heather will check people out. Should have $1, $5, $10’s for change- around $100 total.
    Will also put out donation bucket for those looking to donate without bidding.
  6. Spirit Wear Update (Alison)
    a. Holiday Sale- 20% off through Dec 8 th , will be delivered before holidays. Alison
    working on Spanish translation of flyer. PTO gets an extra 5% of sales on this
    deal.
  7. Family Fun Night – January 19 th – The plan is another Bingo Night. Aim for 1.5 hours
    instead of 2 and move to gym this year. Do we need volunteer to run point on this? Need
    bingo gear. We have budget to purchase and Heather will look at options. 600 boards,
    large print, maybe sliders. Need prizes- Ken will look at what we have.
  8. Staff Appreciation – December Treats- Right before break. Volunteer needs: signup
    genius, someone checking on lounge, can do decorations. Put out volunteer call for
    someone to head. Ann and Charlene will run.
  9. Restaurant Fundraisers
    a.  Davanni’s check- still waiting on this.
    a. Chipotle fundraiser earlier this week- no updates on amount raised
    b. None planned for December
    c. Would like to do Jersey Mikes, Papa Murphys, Raising Cane’s.
  10. Volunteer Coordinator Update (Liz) 
    a. Volunteer Needs- Dec treat week, Hornet Hop, January Family Fun Night
  11. Yearbook- Liz will follow up about donations.
  12. Treasurer Update (Heather)- Has invoices for t-shirts. Most of items for outdoor
    classroom have been paid for- it is currently over budget. Talked to Janet about
    future expenses. Chip Drop is a free option for mulch/wood chips, best time to look
    is after a storm.  Melanie has reached out to some of the grant applicants. Mrs.
    Berryman has approved state grant for books for $3,000 which could cover two of

the PTO grant requests. Deadline of April 15 th for teacher reimbursements due to
Heather.

  1. Update to Events Planning for next year
    a. Grade Level Planning for Larger Events- The idea would be to have
    parents from each grade level to help host each event ( for example:
    Family Fun Night- 1 st grade, Breakfast with a Book- 2 nd grade, Hornet Hop-
    3 rd grade, Readathon- 4 th grade, parade and send off- 5 th , could also include
    yearbook somewhere). Would have binder or information packet to help
    plan. Would not include kindergarten or pre-K. Newsletter, open house.
    Social hour, sub-committee to brainstorm. Asking grades to sponsor
    events, ease into taking on leadership. Don’t want to scare people off by
    making it sound more overwhelming that it is. Staff would need to recruit
    parents that may be able to help. Would be a good opportunity to recruit for
    PTO. Could also have grade level representatives sent to PTO meetings
    for updates.
    a. If approved, find/identify lead and committee- Committee would need to
    figure out timeline, next steps. Prepare for soft roll out next year, PTO
    would help a lot initially. Alison will figure out date to discuss with
    committee, then include staff to consult. Look at which events would be
    included.
  2. Other
    a. November Newsletter submission due date: Nov 22. Items to include: Spirit
    Wear, Staff Appreciation treats, ways to give back, January Fun Night.
    b. PTO will plan to come in December 14 th at 6:15 to go through PTO storage
    closet to inventory/organize/clean out.
