  1. Welcome and Call Meeting to Order (Alison)
  2. Introductions- Ken, Ann, Liz, Celeste, Heather, Alison, Rachel.
  3. Old Business
    a. Approve Nov 2023 meeting minutes (Found at https://hbpto.net/blog) Ann
    motions, Heather seconds
  4. Silent Auction Recap (Liz)
  5. Raised $2,777 (slightly less after fess) which was over what we had projected.
    Ideas to explore for next year: let it go longer to allow bids to go higher; multiple
    rounds, so there wasn’t as big of a rush at the end; move to online (online slightly
    more work than in person) could do some items in person and some online,
    would need to see if there are ways to pay online; move upstairs to make more
    room for activities; have a sign saying we prefer cash/card; turn on tips to see if
    they want to cover services fees.
  6. Hornet Hop Recap- attendance rough count over 700 people- 281 adults, rest children.
    40% adults 60% children. More people than last year. Music/art room very bottle necked.
    Could try to aim for a different time of year next year, maybe a week early. There were
    other activities going on that night at high school and Diamondhead which limited
    volunteer availability. Could be a good motivation for families to donate extra Halloween
    candy to event. Volunteer team who did last year willing to do next year. Middle school
    volunteers weren’t as reliable. Should designate certain roles for middle schoolers, like
    Buzz. Have a community leader for each station. This could be fixed with new grade
    level sponsorship. Ended up with money left over that was budged.
  7. Family Fun Night – January 19th
    a. Need table for Yearbook Sales and make announcement about yearbook sales.
    Square account for sales.
    a. Petty Cash – Need lots of $1’s
    b. Prizes- Liz will get gift cards, bags of popcorn or other snacks from Costco, have
    a bunch of other stuff.
    c. Enough volunteers, enough supplies. Ken will talk to custodians about setting up
    in gym, and will get PA set up. Keep popcorn in cafeteria.
  8. Kindergarten Enrollment Night – Jan 25 @ 6:30pm- Alison will be there.
  9. Breakfast with a Book (Keralyn, via email) – Feb 2 @ 8:15am- planning on 300 with
    deadline tomorrow.
  10. Restaurant Fundraisers
    a. Past fundraisers – that have been received
    i. Davanni’s – 9/18 – $147.99
    i. Chipotle – 11/14 – $242.34
    a. Jersey Mike’s – 2/21 (or 2/12, 2/13, 2/20 or 2/22); waiting to hear back
    a. Cane’s or Papa Murphys, for mid-late April – volunteers to organize?
    b. Panda Express or Chik Fil A- April- need lead to reach out restaurants
    create/translate and send out flyer.
  11. Volunteer Coordinator Update (Liz) 
    a. Volunteer Needs
    i. Co-lead for Read-A-Thon
    i. Teacher/Staff Appreciation Week (May 6-10) Need someone.
    i. Conference Meals (Upcoming conferences: Mar 6-8)

i. Restaurant fundraisers 
i. Yearbook
ii. Find someone who understands word press/web site stuff for when
Alison isn’t here
iii. Send out email showing what volunteers do (events, field trip etc) to
connect the dots. Make needs clear on website. Impact on
volunteers. Testimony from kids/teachers.

  1. Yearbook- see Linda’s email. Both school and online sales are down 64. PTO
    buys extras, but there is still more to account to. PTO has already approved up to
    25 scholarships, any additional requests will be reviewed if they come in. Celeste
    will reply to Linda.
  2. Treasurer Update (Heather)- 8 teacher reimbursements completed. Class Act
    scholarship request for scholarships to seniors. Need to vote on how much or
    whether to donate. Requested donations $150-$200. Since other items have come
    in under budget, we do have room to donate. Heather motions to donate $150, Liz
    seconds.
  3. Events Planning Update Committee
    a. Need to get an initial meeting on the calendar- Alison will schedule.
  4. Other
    a. February Newsletter submission due date: Jan 24- Liz is working on a few
    things, see if Keralyn has anything for breakfast with a book. Future idea-
    put things about Community Ed offerings, especially at HB.
    b. Alison can have decals printed for fundraising in future
    c. Class Act scholarship fund requested $150-$200
