PROPOSED AGENDA
- Welcome and Call Meeting to Order (Alison)
- Introductions- Alison, Ken, Betsy, Liz, Keralyn, Ann, Heather, Celeste
- Old Business
a. Approve January meeting minutes (Found at https://hbpto.net/blog)- Ann
motions, Heather seconds - Family Fun Night/Bingo Night – very packed, very popular. Now that we have bingo
supplies we can do it again, need to figure out best way to do cards. A few leftover
prizes at end, but not much. Can do smaller prizes if we have more winners. Could do
Target or Five Below gift cards for kids to pick stuff out. Harriet Bishop sticker or tattoos.
Volunteers from high school for popcorn and setup/cleanup worked out well. Cleanup
went very fast after. Gift cards for volunteers after? Alison could print out handwritten
thankyous in cricut. - Breakfast with a Book Recap- numbers down, but still good turnout and seemed very
full. 245 RSVP this year, ~400 last year. Some leftover muffins. Next year get table
cloths, bowls for fruit. Everything from Costco. Hyvee donated coffee and half and half.
PTO money budgeted this year can use leftovers next year since title funds paid it all.
Volunteer numbers down this year. More attended than RSVP’d. Someone from district
took pictures and put on website. Mr Bellmont attended. - Restaurant Fundraisers
a. Jersey Mike’s – Feb 21- wrong day on email, Liz will correct on future email. Will
be Wednesday Feb 21.
a. Cane’s or Papa Murphys, for mid-late April – volunteers to organize? Could also
do Panda Express. Ask for volunteers on email announcing next fundraiser,
underline how easy it is. - Read-A-Thon (Mar 18-Apr 5) (Liz) Jessica who has helped previously, will co-lead
it. Started with corporate sponsors, and smaller prizes for the reading bingo
winners. Dates confirmed. Aim for 10 th for Pepfest date ( same day as Family Fun
Night) so if we get inflatable so it can be all day (around $1,000). “Read for the
Stars” will be theme. Reduce goals since we weren’t able to reach goals in past.
$20,000 too high, would like to aim for $15,000 (would just be from funds raised by
students, would not include other sponsorships). Enrollment is down too, so
makes sense to lower goal, but we can still have stretch goals. Reading Bingo
cards instead of log for weekly drawing. School wide incentives: similar from last
year, make sure teachers still on board. Other idea: Mr Essay serving lunch (kids
have asked). Looking for fun and free ideas. Duct taping: specialist teacher, Bob,
kitchen staff? Kona. $20,000 would be for inflatable. Class or grade level
competition. Prize for any donation, including penny was done before- but did not
change number of donations. Parent involvement can be challenge for many kids
though so don’t want to put more pressure on kids. Can utilize stickers, QR codes,
flyers, posters to get word out. Flyers and posters for conferences?? Read-a-Thon
flyers in communities (not in conference folder due to time limitations). - Conference Meal for Teachers (Mar 6-8)- need someone to organize, do Thursday
the 7 th 12-8. Ann can do it. Someone needs to do emails and signup genius and
get word out. Might split between Liz and Ann. - Twins Game Night – May 3- 7:10 pm- $200 budgeted, $14 tickets. Last year we
took some funds out of title. Could reduce to one bus. $870.92 for two buses last
year. $450 for one bus. $200 for scholarships, ask people paying if they want to
donate? 48 requested scholarships last year. There are people who back out day
of. Could offer partial scholarship, or do we cut it off? Limit scholarships to one
household parent, any additional parents need to pay. Plan- limit to certain
number and have waiting list so we can approve off waiting list if donations come
in. Determine what need is to plan for next year. Ask for donations from parents. - Volunteer Coordinator Update (Liz)
a. Volunteer Needs
