Parent Teacher Organization (PTO) Meeting

MINUTES

  1. Welcome and Call Meeting to Order (Liz)
  2. Introductions- Ken, Stacy Strowbridge, Ashley Carlson, Liz, Ann, Tara, Heather, Keralyn, Celeste (Sam absent)
  3. Old Business
    1. Approve November 2024 meeting minutes (Found at www.hbpto.net/blog) -Liz motions, Ann seconds. 
    2. Other 
  4. Open Board Positions (Liz)
    1. Volunteer Coordinator(s) – still open, will continue to promote. 
      1. Volunteer Coordinator Update / Volunteer Needs
        1. Yearbook – Sales Coordinator and Designer-  with Linda and Nicki. This will be Nicki’s last year as designer. Need someone to fill that role. Linda is sales coordinator. Kemmetmueler has been much easier to work with this year so takes pressure off the role. 
        2. January Family Fun Night (BINGO) – Jan. 24 @ 6:30-8pm -flyers went out.  Typically a very easy event to organize. Moving towards being grade level sponsored events. 
          1. Supplies & Prizes- Need to check inventory of cards and prizes. Need gift cards for adults. Some items leftover from Hornet Hop and things from last year. 
          2. Volunteer Sign Up- Signup genius is starting to fill up. Will continue to promote signup. 
        3. Read-A-Thon – Mar. 10-28, planning starts now 
          1. Team Lead(s)- meeting occurred 1/16, planning underway. Team in place. 
          2. Corporate Sponsor(s)- will start outreach. 
          3. Theme & Goals- will start on planning 
  5. December Treat Week – Recap- teacher feedback good. Went smoothly. Had signup for setup/takedown rather than one lead, which worked well. 
  6. Restaurant Fundraisers
    1. Cafe Zuppa – results- $173.97. First time working with Zupas. 
    2. Panera – results- $248.73
    3.  Nothing on calendar next- ideas Jersey Mikes (goes well, but Sam had to chase down check), Chipotle (did in Fall already, but does well), Papa Murphy’s, Raising Canes, open to ideas. Von Hansons could be good in summer or late spring. Have to pay for tank of gas. Ken could grill? 
  7. Yearbook Update- no updates. Price settled, same as last year ($15). Linda is working on website, and more flyers. Send pictures to go in yearbook. 
  8. Treasurer Update (Sam) 
    1. BHS Scholarship-  reached out. We have historically done $500 and is budgeted. Goes to Harriet Bishop graduate.
    2. Class Act is another scholarship request that came in, asking for $150, also budgeted. Will work with Sam to move forward.
  9. Other
    1. School Flyers- inconsistencies of when/if they are going home to students. Is there a better way of doing this? Can depend on kids taking things home.
    2. Grade Level Advisory we’ve been working towards implementation. Read-a-thon is testing that out with 3rd grade. 
    3. February Newsletter submission due date: Jan 27 (Ann)- Can post Breakfast with a Book, advertise grade level advisory and mention Readathon. 
    4. Hockey Game for 3rd grade- happening. Need more chaparones. 
    5. 5th grade sendoff- have not heard from group about planning
    6. Have more tables at events promoting PTO. 
    7. Outdoor classroom- gets used during better weather. Use during May Family Fun Night, or PTO meeting.
